Five Questions to Ask Before Buying Farm Software

Before you sign a contract or build something custom, ask these questions to avoid costly mismatches and missed requirements.

Choosing farm software—whether off-the-shelf or custom—is a significant decision. The right fit saves time and supports growth; the wrong one leads to workarounds, double entry, and sometimes a second purchase a few years later. These five questions help you align the product or project with what you actually need.

1. Does It Match How We Work?

Software should support your processes, not force you to change them unless you choose to. Ask the vendor or developer: Can we record movements (or treatments, or purchases) the way we do them today? Can we get the reports we use in our meetings? If the answer is “you’ll need to adapt,” dig into what that means. Some adaptation is fine; fundamental rewrites of how you operate are a red flag unless you’ve explicitly decided to redesign.

2. Where Does Our Data Live, and Who Controls It?

Understand where data is stored, who can access it, and what happens if you leave the platform. For cloud systems, ask about backups, retention, and export. For custom builds, clarify ownership and how you’d migrate if you ever switched. Data you can’t get out or don’t own is a long-term risk.

3. Can It Connect to What We Already Have?

Most farms have at least one other system: a weighbridge, a feeding system, a pricing feed, or an accountant’s package. Ask whether the new software can integrate with those—via API, file exchange, or custom development. If the answer is “no” or “not yet,” you may be signing up for manual re-entry and ongoing friction.

4. What Does Support and Change Look Like?

Software isn’t set-and-forget. Who do you call when something breaks or when you need a new report? For packaged products, what’s the upgrade path and cost? For custom, how are changes and new features quoted and delivered? Clear answers here prevent surprises later.

5. What’s the Total Cost Over Three to Five Years?

Look beyond the first year. Include subscriptions, implementation, training, integrations, and likely customisation. Compare that to the cost of staying with your current approach (including the time spent on workarounds and errors). That comparison tells you whether the investment is justified.
